Home/Door care/Commercial overhead door inventory checklist

Commercial overhead door inventory checklist

An organized door inventory makes routine inspections, budget planning, and replacement pricing faster. Use one line for each opening so photos, notes, product labels, and future quotes all point to the same door.

General educational information only. This guide does not replace the applicable manufacturer manual, qualified service, engineering, electrical work, code requirements, or project-specific safety procedures. Do not adjust springs, cables, bottom fixtures, tensioned components, tracks, operators, electrical systems, or fire-door systems unless qualified to do so.

Inspection guidance

What to capture for every commercial opening

  • Assign a simple door number and location, such as Dock 01, Warehouse West, Storage Building A, or Parking Level 2.
  • Record the door type: sectional, rolling steel, fire-rated, vertical-stacking, self-storage roll-up, or another commercial assembly.
  • Photograph the door closed, the inside of the opening, the product label, and any visible damage, weather seal wear, operator, controls, or accessories.
  • Record opening width and height, quantity, insulation or material information if known, and whether the door is manual, chain-operated, or motor-operated.
  • Add a short condition note: operating normally, recurring issue, impact damage, weather seal wear, outdated component, or replacement planning.

Routine

Use a simple inspection schedule.

When a new door is added

Create its inventory line before the first maintenance or pricing request so the basic information is easy to find.

Monthly

Update condition notes and attach photos for doors with new damage, noise, delay, or weather seal deterioration.

Quarterly

Review the inventory for recurring issues, aging product, and openings that should be budgeted for replacement.

Before requesting prices

Send the applicable door-number list, photos, product details, quantities, delivery ZIP code, and any plans or existing quote.

When you need product pricing

Send the details that make a quote useful.

An inspection does not always mean replacement. If a door has recurring failures, extensive damage, obsolete components, or repair costs that no longer make sense, RidgePoint can price a replacement door package or specified components.
